BUZZ ABOUT CRICKET BOOKING, CANCELLATION & FACILITY POLICY

These terms apply to services provided by Buzz About Cricket, also referred to as “BAC”, “we”, “us” or “our”.
They cover:
Individual and small-group coaching
Group sessions and workshops
Batting-lane and facility hire
Batting Unit bookings
Credit packs and coaching packages
Club, school, coach and team packages
Sessions delivered at the BAC indoor centre or another venue identified in the booking confirmation
By making a booking, purchasing a package or attending a BAC activity, the person making the booking agrees to these terms on behalf of themselves and, where applicable, the participating child, player, team or organisation.
1. Our facilities
BAC operates purpose-built indoor cricket facilities at:

The indoor centre includes:
A traditional three-lane cricket facility
A separate two-lane Batting Unit
Bowling machines and self-feeding equipment
Breakout and viewing areas
Supporting coaching and performance equipment
These terms also apply to BAC sessions delivered at outdoor grounds, partner facilities or other locations identified in the relevant booking confirmation.
2. Making a booking
Standard coaching sessions, group sessions, camps, courses and batting-lane bookings should normally be booked through the BAC Glofox system.
A booking is confirmed only when:
The booking has been completed through Glofox or confirmed in writing by BAC
Any required payment has been received
The customer has received a booking confirmation
Creating a Glofox account does not itself reserve a session. Customers are responsible for checking the date, time, venue, facility and participant details before confirming a booking. Availability shown online may change until the booking has been completed.
3. Payments
Standard bookings
Payment for standard sessions is taken in advance through Glofox using the payment methods available at checkout.
This includes individual sessions, group coaching, workshops, camps and courses, one-off lane hire, Batting Unit bookings, credit packs and standard coaching packages.
Payment on arrival is not normally available unless agreed by BAC in advance. Cash is not a standard payment method.
Payment plans
Payment plans are available only where they are specifically displayed in Glofox or confirmed in writing by BAC.
By selecting a payment plan, the customer agrees to make every scheduled payment. Cancelling attendance does not automatically cancel the remaining payments due under an agreed programme or package. BAC may suspend future bookings or access to services when a payment is overdue.
Clubs, schools and bespoke packages
Club, school, coach, team and bespoke packages may be paid through Glofox or by invoice and bank transfer where agreed in writing.
The payment schedule, deposit and final balance will be stated in the proposal, invoice or booking agreement. Unless stated otherwise, the booking is not secured until the required deposit or first payment has been received.
4. Standard cancellation period
BAC operates a standard 72-hour cancellation and rearrangement period.
Notice must be received at least 72 hours before the scheduled start time.
Cancellations can be made through Glofox where that option is available. If the booking cannot be changed through Glofox, email admin@buzzaboutcricket.co.uk. The time the email is received will be used when determining whether sufficient notice was provided.
More than 72 hours’ notice
Where more than 72 hours’ notice is provided, BAC will normally offer one of the following, depending on the booking:
Transfer to another suitable date
Return of the relevant credit to be booked again
Any rearranged booking remains subject to availability. No refunds will be given.
Less than 72 hours’ notice
When less than 72 hours’ notice is provided:
The booking will be charged in full
Used credits will not normally be returned
The session does not have to be rearranged
Payments are non-refundable
This also applies to non-attendance. BAC may consider exceptional circumstances at its discretion, but this cannot be guaranteed.
5. Individual and small-group coaching
Individual and small-group coaching is reserved for the named players at the agreed date and time.
Where more than 72 hours’ notice is provided, BAC will try to rearrange the session, subject to coach and facility availability.
Where less than 72 hours’ notice is provided, the session will be treated as used and will not normally be refunded or rearranged.
Coaching packages may include fixed dates, expiry dates or limits on the number of sessions that can be changed. These will be explained before purchase or included in the package description.
Players arriving late will receive only the remaining portion of their scheduled session. The session cannot normally be extended because another booking may follow.
6. Group sessions and workshops
Places in group sessions and workshops must be booked for the correct participant and age group.
Cancellations made more than 72 hours before the session may be transferred or credited in accordance with Section 4.
Cancellations made within 72 hours and non-attendance are non-refundable and the relevant credit will be treated as used.
BAC may refuse participation where a player does not meet the stated age, experience or safety requirements.
7. Camps and courses
Camp and course places are reserved for the named participant.
Parents or guardians must provide accurate emergency contact information, medical information, allergy information, additional support requirements and authorised collection details.
Cancellations must be made at least 72 hours before the camp or course begins.
Where a course contains multiple dates, missing an individual date does not entitle the customer to a partial refund.
If a participant becomes unwell or cannot attend within the 72-hour period, BAC may consider a transfer or account credit at its discretion. This is subject to availability and is not guaranteed.
8. Batting-lane and facility hire
Lane bookings must be made at least 6 hours in advance through Glofox.
Lane and facility hire is for the date, time and facility shown in the booking confirmation.
Unless the booking description states otherwise:
• Lane bookings are for independent practice
• Coaching is not included
• Each Batting Unit lane may be used by a maximum of four people
• The person making the booking is responsible for everyone attending
• Guests must follow BAC’s facility and safety rules
Bookings cannot overrun their allocated time. Customers should allow sufficient time to collect their equipment and leave the lane ready for the next booking.
Once a booking is made, cancellations and changes require at least 72 hours’ notice. Late cancellations, non-attendance and unused booking time are non-refundable.
9. Credit packs and memberships
Credit packs provide access to the activities stated in the product description.
Credits:
Must be used before their displayed expiry date
Can only be used for eligible services
Have no cash value
Cannot normally be transferred to another person
Cannot be extended unless BAC agrees that exceptional circumstances apply
Customers must ensure that they have sufficient valid credits before attempting to book.
Where a qualifying booking is cancelled with more than 72 hours’ notice, the credit will normally be returned to the customer’s account. Where less than 72 hours’ notice is provided, the credit will be treated as used.
Memberships and package benefits apply only for their stated validity period.
10. Club, school, coach and team packages
Every bespoke package is governed by these general terms and any additional written proposal or agreement.
Packages may include small-group coaching, squad coaching, individual lane hire, Batting Unit access, whole-facility hire, coach-led training, supervised self-led practice, workshops or coach education.
Individual dates included within a package require at least 72 hours’ cancellation notice unless the written proposal specifies a longer period.
Where BAC has reserved the whole facility, multiple coaches or substantial additional resources, a separate cancellation schedule or deposit condition may apply. Any different conditions will be provided in writing before the package is confirmed.
If bespoke written terms conflict with this general policy, the specific written terms agreed for that package will take priority.
11. Cancellations by BAC
BAC may cancel, relocate or rearrange a session because of coach illness or unavailability, facility problems, unsafe conditions, severe weather, insufficient attendance or circumstances outside our reasonable control.
Where BAC cancels a session, customers will normally be offered a replacement session, return of the relevant credit, account credit or a refund for the affected session.
BAC is not responsible for indirect expenses such as travel, accommodation, lost earnings or other costs incurred in attending a session, except where the law provides otherwise.
12. Outdoor sessions and weather
BAC will assess whether outdoor conditions are safe and suitable. A session will not automatically be cancelled because rain or poor weather is forecast. Customers should wait for confirmation from BAC.
Where possible, BAC may move the session indoors, adjust the session format, change the venue, rearrange the session or provide an account credit or refund.
If the customer decides not to attend before BAC has cancelled the session, the standard cancellation policy will apply.
13. Arrival, clothing and equipment
Participants must arrive in sufficient time to begin promptly, wear appropriate sports clothing and suitable clean footwear, bring appropriate protective cricket equipment, follow instructions given by BAC staff or coaches and use equipment only for its intended purpose.
Players practising with a hard ball must wear appropriate protection.
BAC may prevent participation where clothing, footwear, equipment, behaviour or physical condition creates a safety risk. No refund will be provided where participation is refused because reasonable safety requirements have not been followed.
14. Facility safety
Customers and participants must:
Respect BAC staff, coaches, customers and neighbouring businesses
Follow all displayed safety instructions
Remain outside active lanes unless authorised to enter
Ensure the previous delivery has finished before retrieving cricket balls
Keep kit bags outside active practice areas
Return equipment after use
Leave lanes and shared areas clean and tidy
Remove their rubbish
Keep food and uncovered drinks away from playing surfaces
Report damaged or unsafe equipment immediately
Smoking, vaping, alcohol, illegal substances, abusive language, threatening behaviour and deliberate misuse of equipment are prohibited.
BAC may end a session immediately where behaviour creates a safety risk or seriously disrupts other customers. No refund will be provided in these circumstances.
15. Children and supervision
Children must be supervised by a responsible adult except when they are participating in a BAC-coached activity where BAC has formally accepted responsibility for the session.
Siblings and other children who are not participating remain the responsibility of their parent, guardian or supervising adult.
No person under 16 may enter or use designated strength or weight-training areas unless directly supervised and specifically authorised by BAC.
Parents and guardians must collect children promptly at the agreed finishing time.
16. Bowling machines and specialist equipment
Bowling machines, self-feeders, cameras and performance technology must be used in accordance with BAC instructions.
Customers must not adjust restricted equipment without permission, use damaged equipment, operate equipment in an unsafe manner or allow an unauthorised child to operate a bowling machine.
BAC may withdraw equipment from use where safety, maintenance or availability requires it. Unless guaranteed in the booking description, specific equipment remains subject to availability. Bowling machines on the Indoor Cricket Lane must be agreed with BAC in advance and are chargeable.
17. Damage and loss
Customers are responsible for damage caused deliberately, recklessly or through failure to follow instructions. BAC may charge the reasonable cost of repairing or replacing damaged equipment or property.
Personal possessions are brought onto BAC premises at the owner’s risk. BAC is not responsible for items that are lost, stolen or left behind, except where the loss results from BAC’s negligence or where responsibility cannot legally be excluded.
18. Health, injuries and medical information
Participants must inform BAC of any injury, medical condition, allergy or additional need that may affect safe participation.
Customers are responsible for deciding whether they or their child are fit to participate. Where appropriate, medical advice should be obtained before taking part.
BAC coaches may adapt or stop participation if they believe continuing would be unsafe. In an emergency, BAC may contact the emergency services and the participant’s emergency contact.
19. Photography and video
BAC may occasionally photograph or record coaching activities for coaching analysis, training or marketing.
Identifiable images of children will only be used where appropriate consent has been provided.
Customers may withdraw consent for future marketing use by contacting BAC. Withdrawal does not require BAC to recall material already lawfully published, but BAC will consider reasonable removal requests.
Customers must not photograph or record other children or customers without permission.
20. Safeguarding and conduct
BAC is committed to providing a safe and supportive environment.
Safeguarding concerns should be reported promptly to admin@buzzaboutcricket.co.uk.
BAC may refuse or end participation where behaviour is unsafe, discriminatory, abusive, threatening or seriously disruptive. Serious safeguarding matters may be referred to the relevant authorities or governing body.
21. Consumer rights
Most BAC sessions, camps and facility bookings relate to leisure activities supplied on a particular date or during a particular period. Statutory cooling-off rights may not apply to these date-specific bookings.
Where a statutory right to cancel does apply, BAC will honour that right.
Nothing in this policy removes or restricts rights provided by the Consumer Rights Act 2015 or other applicable consumer law.
22. Refund processing
Approved refunds will be returned to the original payment method wherever possible.
BAC will normally process an approved refund within 14 days. Banks and payment providers may take additional time to show the funds in the customer’s account.
Glofox transaction fees or payment-provider charges will only be deducted where permitted by law and disclosed before the booking is completed.
23. Complaints
If you are unhappy with a BAC service, please contact us as soon as possible so that we have an opportunity to investigate and respond.
Please include your name, the participant’s name where relevant, the booking date and service, a clear description of the concern and the outcome you are seeking.
Complaints should be sent to admin@buzzaboutcricket.co.uk. We aim to acknowledge complaints promptly and provide a full response within a reasonable period.
24. Changes to this policy
BAC may update this policy to reflect changes to services, facilities, booking systems or legal requirements.
The latest version will be published on the BAC website with its revision date. Changes will not retrospectively remove rights already confirmed in a separate written booking agreement.
